RingCentral Provides ChartSpan World-Class, HIPAA-Compliant Communications and a Partner to Grow With

For people at both ends of the healthcare continuum—patients and providers—ChartSpan offers much-needed help. For patients, ChartSpan provides a free, secure app that they can use to organize, request, and send an entire family’s health records. Soon after it was introduced, the app became the most downloaded medical app in the US. For healthcare providers, ChartSpan provides an innovative “Engagement-as-a-Service” platform that helps hospitals, doctors, and clinics better serve chronically ill patients and consequently increase their Medicare and private payer reimbursement rates.

Critical communications for medical needs
At the heart of ChartSpan’s Engagement-as-a-Service platform is a call center staffed by nurses. Once that platform took off, it became clear that the company needed an advanced business communications system.

Patrick Carter, ChartSpan’s cofounder and chief medical officer, explains it this way: “Some medical scenarios involving chronically ill patients are black and white,” he says. “It’s clear they need to call 911. But many others are less clear, and that’s a good example of when people call us. A nurse might need to quickly transfer a call or bring others in on it. What’s different about our call center is that ours involves taking care of patients who have critical health care needs, and an advanced communications system is absolutely essential for this.”

Requirements included cost, functionality, and HIPAA compliance
Armen Allahverdian, ChartSpan’s VP of Product Management, conducted a thorough search of cloud-based communications systems. Cost was a big consideration. “We are still in start-up mode, so we’re conscious that we’re spending others’ money,” Allahverdian says.

Getting a broad range of communications functionality was equally important. ChartSpan needed a system that could be used by people working in offices, as well as by the account executives and consultants who are usually on the road. Allahverdian was also looking for a system that would integrate well with Google, since the company uses Google applications for business, and nurses in the call center use Google Chromeboxes.

The nature of ChartSpan’s work posed an additional requirement. To maintain its HIPAA compliance, ChartSpan needed a vendor who was able to sign a Business Associate Agreement (BAA) stating it would abide by HIPAA confidentiality and security requirements.

World-class functionality at the right price
RingCentral met all of ChartSpan’s requirements, including the BAA, which Allahverdian says not all vendors are willing to do. On top of that, “RingCentral has the world-class functionality we need at a price that fits into our budget,” he adds.

In terms of phone functionality, RingCentral supports desktops phones for those who use them as well as a mobile app for those who work remotely. The Google extension lets nurses make and receive calls using their Chromeboxes. “This is an area where RingCentral has really helped us,” says Carter. “It’s so much easier, compared to our previous system, for nurses to transfer calls when they need to, or add others to a call, and ultimately this improves their ability to help care for patients.”

ChartSpan uses RingCentral Meetings to conduct internal and external webinars and conference calls. “We tried quite a few other solutions before we found RingCentral Meetings, but none of them worked very well,” Carter recalls. “RingCentral Meetings has worked without a hiccup, and with the Google Calendar integration, it makes the process of setting up a meeting very easy.”

With RingCentral, ChartSpan received more than a communications system. Allahverdian sees RingCentral as a key partner supporting ChartSpan’s rapid expansion. “I was looking for a long-term partnership, where we can grow together,” Allahverdian says. “RingCentral was able to see where we’re headed and work with us. Also, the RingCentral support team has done an excellent job, which is something I value dearly.”
